The University of Basel attaches great importance to the protection of personal data. Personal data is all data that can be related to you personally, e.g. name, address, e-mail, telephone number, user behavior, IP address, etc.

With this privacy policy, we would like to inform you about what data the University of Basel collects, processes and discloses from you as a user of the "Phil" app and for what purpose, and what measures the University of Basel takes to ensure the security of this data. We also inform you about your rights by means of this privacy policy.

Personal data is always processed in compliance with the Information and Data Protection Act of the Canton of Basel-Stadt (IDG) applicable to the University of Basel and, if applicable, the Swiss Federal Act on Data Protection (DSG).

In addition, the University of Basel observes the applicable European General Data Protection Regulation (GDPR) and, in this case, indicates the relevant legal basis in accordance with Art. 13 para. 1 lit c GDPR.

The use of the "Phil" app requires the entry and long-term storage of the following personal data:

• E-mail address (only @unibas.ch and @stud.unibas.ch addresses are permitted)
• First name
• Last name
• Matriculation number
• Start of studies
• Chosen study program(s)

To use certain features, you can also voluntarily provide additional information that will be transmitted to us and stored by us either temporarily or for a longer period of time. This includes, for example, your telephone number for the transmission of your appointment registrations and any digital documents that you send us for examination/graduation registration.

We only use this data to provide you with a functional app and an optimal individual service (news, events & links from your departments, personal notifications, simplified registration for exam dates, consultation appointments, etc.) and to protect your data from unwanted access by third parties via login.

We process this data in accordance with Art. 9 of the Information and Data Protection Act of the Canton of Basel-Stadt (IDG) and the corresponding university regulations.

If and insofar as the European General Data Protection Regulation (GDPR) applies, we process the data

• on the basis of legal requirements (Art. 6 para. 1 lit. c GDPR) or in the public interest (Art. 6 para. 1 lit. e GDPR)

• on the basis of your consent (Art. 6 para. 1 lit. a GDPR)

• for the fulfillment of contractual obligations and for the implementation of corresponding pre-contractual measures (Art. 6 para. 1 lit. b GDPR)

• to protect the legitimate interests of us or third parties (Art. 6 para. 1 lit. f GDPR)

• to protect any vital interests of you or another natural person (Art. 6 para. 1 lit. d GDPR)

You can revoke any consent you have given us for certain services at any time with effect for the future. Personal data that has already been collected will be deleted if it is no longer required for the purposes for which it was collected. The data will be blocked instead of deleted if there are legal or contractual reasons for not deleting it.

You can delete your user account and most of your data yourself at any time by accessing the"Delete my account" function in the left-hand side panel of the Phil app. If you would like us to delete your personal data completely, please contact: app-philhist@clutterunibas.ch

We only use access data to track malfunctions, analyze the use of the app and optimize its functionality and usability.

The following access data is collected:

• category/page visited
• Time at the time of access
• operating system used (incl. version)
• API access
• anonymized IP address

In addition, there is the data stored by Google or Apple (in some cases only with your consent) in their tools - e.g. installations, updates, uninstallations and crashes of the app.

The analytics component "Matomo" (previously Piwik) is integrated into the "Phil" app. Its purpose is to collect and evaluate data about the behavior of users of the app. It collects anonymized data about which sections/pages/functions were accessed when, for how long, how often, on which device type and operating system and from which region and is used exclusively to optimize the app.

The "Phil" app uses the following services:

• Infomaniak: Hosting of web app and app backend (based on the open-source Parse platform), in which cloud functions and data of the app are stored and via whose APIs the app generates essential functionalities
• Matomo: Open-source analytics tool hosted on the servers ofMichael Stucki GmbH
• Leaflet: open-source JavaScript library for interactive maps
• Mailjet: Sending transactional emails and newsletters
• Wonderpush: Sending push notifications
• Zoom: Video conferencing service

The University of Basel implements technical and organizational security measures to ensure that the data it collects and processes via the "Phil" app

• remain confidential and are protected against accidental or unlawful access, alteration or disclosure as well as loss and destruction
  
• and access to the data is granted exclusively on a need-to-know basis to those persons who need to access the personal data due to their function and task.

The measures to be taken depend on the type of information, the type and purpose of use and the current state of the art.

The University of Basel has not checked websites and apps that are connected via hyperlinks in the "Phil" app, nor the RRS feeds displayed, and accepts no liability for their content or for the products, services and other offers they provide.

Users of the "Phil" app have the right at any time within the framework of the applicable legal provisions

• to obtain confirmation free of charge as to whether personal data is being processed by the University of Basel,
  
• information about any stored data,
  
• to restrict the processing of the data,
  
• to data portability, if and insofar as the GDPR is applicable,
  
• rectification, blocking or erasure of this data,
  
• the revocation of any consent given,
  
• to object to the processing of your personal data.
